WHEN THIS IS USEFUL

Begin with the operational need.

When useful guidance is scattered across folders, personal notes, old procedures and individual memory.

WHY THIS MATTERS

A practical reason to take the next step.

01

Find the current method

Organise information around tasks and operating conditions so people can reach relevant, approved guidance.

02

Protect valuable expertise

Record sources, owners and permissions. Keep proprietary knowledge under client control and agree backup arrangements.

03

Keep memory useful

Connect review triggers, changes and lessons to the documents and people affected, reducing dependence on stale copies.

MEMORY WITH CONTEXT

Keep more than the instruction.

Preserve the method, purpose, operating conditions, evidence, owner and review triggers. Include demonstrations and troubleshooting reasoning where these help people use guidance correctly.

Withdraw obsolete guidance from active use while retaining its history and reasoning. Current guidance should be easy to distinguish from material awaiting approval.

CLIENT CONTROL

Your knowledge remains under your control.

Agree access, storage, backup and permitted use before configuration. The starter uses an agreed existing document platform; bespoke software and integrations are scoped separately.

Client proprietary knowledge remains under client ownership and control. Wider research, external AI training or reuse requires a separate, explicit agreement. A repository supports capability; people still need understanding, practice, authority and resources to act.

A DEFINED FIRST ENGAGEMENT

Start with a manageable scope.

Vault starter from £4,800
40 consulting hours · Estimated delivery: 4-6 weeks

One-site starter using an agreed existing document platform; up to 25 client-supplied knowledge items and five priority task areas.

What you receive

  • A practical information structure. Task categories, metadata, ownership and a usable route to approved material.
  • A controlled starter collection. Up to 25 items organised, tagged and checked for approval status with your technical owners.
  • A management handover. Access rules, review workflow, backup responsibilities and a short administrator session.

Ongoing content care and additional migration quoted separately.

Your input: A content owner, approved source material, IT support and timely technical review.

Licences, dedicated hardware, major content rewriting and bespoke software are separate. External AI training is never assumed as an allowed use.

Indicative starting fee for the stated scope, normally one site of around 100 employees. VAT where applicable, expenses, licences and separately scoped technical work are additional unless agreed. Final scope and fee are confirmed before work begins.

HOW WE REVIEW PROGRESS

Agree the evidence before the pilot.

Check retrieval of current guidance, ownership coverage and completion of overdue reviews.

A PLACE WHERE THE FACTORY LEARNS

Connect the protected collection with a practical learning space.

The full Factory Learning System concept combines organisational memory with a dedicated learning room. Employees can review demonstrations, ask questions, practise and contribute experience, while the coordinator maintains the approved collection.

An illustrative configuration includes a coordinator workstation and scanner, participant notebooks, a projector, agreed backup facilities and, where justified, two VR stations. Space, equipment, software, security and specialist support are selected for the operation and priced separately from the digital Vault starter.

Authorised access at suitable points of work connects the room with production. A room alone does not create a learning system: named owners, planned time, useful content and competence checks make it work.

THE CONTENT LIFECYCLE

Make approval status clear.

01

Awaiting review

Record the source, purpose, operating context and unresolved questions. New contributions do not become approved instructions automatically.

02

Approved for use

Record the responsible technical owner, version, audience, applicability and review date. Connect the method with relevant learning and practice.

03

Superseded or withdrawn

Remove replaced guidance from everyday circulation while retaining the history and reasoning where needed. Changes and contrary evidence trigger review.
